Assignee


The Assignee custom field lets you add as many people-fields to a project as your process needs, alongside the built-in Assignee.

One assignee per record is rarely enough — most processes involve multiple people, each playing a different role. The Assignee custom field captures that: a Reviewer for a content piece, an Approver for an expense, an Account Manager for a deal, an Inspector for a quality check. Each is its own field, so you can filter, sort, group, automate, and chart on every role independently.

Configuration

Each Assignee custom field can be configured as:

  • Single or multi-person: pick whether the field accepts one user or many.
  • Restricted to specific users or roles: optionally limit who can be selected. For example, a “Senior Reviewer” field can be restricted to a specific user role, or to a hand-picked list of people.
Different from the built-in Assignee

The built-in Assignee on every record decides who sees the record in their My Items view and receives assignment notifications. Assignee custom fields are about role on this record — Reviewer, Approver, Account Manager — and don’t change My Items behavior. Use both together: built-in Assignee for ownership, custom Assignee fields for everyone else involved.

Where it works

Assignee custom fields are first-class throughout Blue. You can:

  • Filter records by who’s in any Assignee field
  • Sort records by an Assignee field
  • Group records by Assignee in the database, board, and calendar views
  • Drive automations — for example, “when Approver is set, send an email”
  • Include them in dashboards and charts
  • Accept them as input on public forms
